Manager of Women's Board Operation

Department: Development

Reports to: Women's Board Chairman, Women's Board Admin. Vice Chairman & Director of Development

General Description: The Women's Board was established in 1962 by the Executive Committee of the Board of Trustees of Ravinia Festival Association. This not-for-profit organization has a long history of promoting the Festival and developing appreciation and understanding of music and the arts throughout Chicagoland area. The mission includes fundraising and support of Ravinia's REACH*TEACH*PLAY, its Education and Community Partnerships programs. The Women's Board organization is based on numerous working committees that generate a large portion of the workload. This is a dynamic opportunity for an individual who likes a fast-paced, multi-faceted, creative environment. The position requires a self-directed, highly motivated and collaborative person. This position is instrumental to the success of the Women's Board and its effectiveness in the community at large as well as within the Festival.

Principal Job Duties and Responsibilities
The primary responsibility of the Manager of Women's Board Operation is to manage, coordinate, support and promote the activities, programs, and events of the Women's Board and to act as steward of Women's Board affairs within the Ravinia organization.

  • Oversee the administration of the Women's Board office including providing support to the Chair and Executive Committee.
  • Updating and maintaining accurate databases of member information, website update and production of the Women's Board membership directory.
  • Develop processes for implementing the various projects and events that are generated by the Women's Board committees.
  • Act as event manager for Women's Board Annual Gala:
    1. • Coordinating committee communication, tracking reservations, producing weekly reservation reports.

    2. • Overseeing the design and production of the invitation/solicitation materials and the program book.

    3. • Managing the gala benefactor process.

    4. • Coordinating all invitation mailings.

    5. • Entering all gifts into database and generating acknowledgement letters.

    6. • Creating and implementing the logistics for ticketing, mapping and seating in the pavilion and the tent.

    7. • Servicing all Gala guest requests and concerns.

    8. • Participating in solicitation efforts when appropriate including initiation and cultivation of new and existing donors. May also include completion of cyber grant applications.

    9. • Generate final accounting of the Gala.

  • Act as primary liaison between the Women's Board, Development Department and the general public.
  • Assist the Women's Board Treasurer with record keeping, documentation, balancing of the books and bank deposits.
  • Processing of all incoming tribute gifts and coordination of the acknowledgement process.
  • Creating and designing various event and board meeting invitations.
  • Preparing and distributing necessary materials for board meetings.
  • Assist in planning the meetings and events. Onsite Coordinator for meetings and events.
  • Represent Women's Board on internal Festival Committees.
  • Manage the production of all printed materials for the Women's Board by working closely with the Marketing and PR departments, as well as Committee Chairs.
  • Maintaining a high level of confidentiality and trust.

Requirements
In this highly visible role, our ideal candidate will possess the following characteristics:

  • Ability to integrate administrative responsibilities with supporting Women's Board projects and events throughout all departments of the Festival.
  • Ability to work independently and to be a self-starter.
  • Ability to prioritize and manage multiple projects simultaneously while attending to details.
  • Superior verbal and written communication skills.
  • Strong interpersonal skills.
  • Excellent judgment and professionalism in dealing with the public.
  • Proficient to advanced skills in Word, Excel, Outlook, PowerPoint and Raiser's Edge.
  • A minimum of 3 years experience required; college degree required.
  • Exposure to not-for-profit and/or volunteer organizations extremely helpful.
  • Desire to provide quality service, in a supporting role, to the Women's Board.
  • Occasional evening and weekend work may be required, especially during the summer concert season and prior to the annual Women's Board Gala.

Webmaster

Ravinia Festival, the nation's oldest outdoor music festival, is seeking a webmaster to expand and improve our online marketing initiatives, mobile and standard web presence, and social media usage. Ravinia is composed of a small, fast-paced, tight-knit team, and the successful candidate will be expected to wear many hats and take a "big picture" view. The full-time, year-round position will report to both the Director of Marketing and Communications and the Director of Technology, so a foot in both those worlds is expected.

The primary responsibility is updating and managing our website and overseeing email blasts, so the applicant should have a proven track record of website and graphic design skills, a deep understanding of usability, cross-browser compatibility, and excellent communication and organizational skills.

  • Excellent image editing skills and familiarity with Adobe Photoshop required.
  • Superior understanding of CSS, HTML/XHTML/XML, and cross browser compatibility issues required.
  • Comfort with both Mac and Windows required.
  • Comfort with email list management and email marketing required, familiarity with MailChimp a plus.
  • Familiarity with the dominant social media services required.
  • Familiarity with ASP.Net and Visual Studio a plus.
  • Familiarity with Google Analytics a plus.
  • Writing skills a plus.
  • Willingness to be exposed to some of the best music in the world required.
